What have been the difficulties you have had to overcome in installing a document management system in your own company or at client sites? Actually, the installation has gone very well. We put two 19-in. monitors on every desk, a 50ppm automatic document-feed scanner on each desk, increased sever speed and capacity, updated to state of the art backup, and all of this went well.

Changing the preparer's thought process to not have to look at paper has been the challenge and that is going very well!

The difficulties that I have encountered in my travels related to document management are as follows: The implementation of a document management application requires, for the first time, many technologies to come together and work well with each other. For example, if you choose the ASP model such as GoFileRoom, you'll need reliable Internet connectivity, a current version of Adobe Standard or Professional, a current version of Microsoft Office, as well as end-user equipment and a technology infrastructure that is up to current standards. All too often, I am called into firms to assist with the implementation of a document management application and I find that their infrastructure is antiquated and end-user technology, including operating systems and applications, are spread over many different platforms and releases.

We have assisted nearly two dozen firms with the implementation of a document management system in the past six months alone. Based on that experience, I would say that the three top issues are defining the appropriate workflow policies and procedures, understanding the difference between electronic workpaper systems and a document management system, and using electronic tools for annotation, such as tick marks and review notes. We work with a Web-hosted solution; therefore deployment of the technology is a relatively minor issue.
